1. Who We Are and Scope
BoardGameNite is operated by BoardGamesNMore Inc. This Privacy Policy applies to the BoardGameNite events platform, including public event pages, account pages, Quick Play Setup, friends/social features, invitations, registration, waitlists, QR workflows, scoring, leaderboards, Player History, payment-policy workflows, subscriptions, SMS/OTP communications, refunds, credits, reports, diagnostics, and support. This policy does not replace separate policies that may apply to the BoardGamesNMore ecommerce store, payment processors, hosting providers, analytics providers, SMS providers, or other third-party services.
2. Personal Information We Collect
We may collect account information such as name, display name, email address, phone number where provided, password hash, profile details, language and preference settings, login/session information, verification status, and account role. We may collect event and participation information such as created events, saved locations, venue/address information, registrations, waitlist entries, cancellations, check-ins, QR pass usage, invitations sent or received, table assignments, attendance status, score submissions, score reviews, opt-outs, corrections, Player History, and leaderboard eligibility. We may collect payment-policy, subscription, and reconciliation information such as plan selected, subscription status, checkout/payment identifiers, renewal or cancellation status, registration payment status, pending payment, paid status, paid offline, waived/comped status when an organizer waives or comps a registration, refund status, platform credit status, receipt metadata, and administrative notes. We do not store full card numbers.
3. SMS, OTP, Email, and Notification Data
If SMS features are enabled, we may process phone numbers, SMS consent or notification preferences, message delivery status, one-time password or login verification metadata, opt-out status, timestamps, provider identifiers, and error responses from the SMS provider. SMS may be used for OTP login, account security, event reminders, registration updates, urgent operational notices, and notification preferences selected by the user. Standard message and data rates may apply through the user's mobile carrier. Users may disable non-essential SMS notifications in account settings where available. Security or OTP messages may still be required to use SMS-based login or verification.
4. Why We Use Personal Information
We use personal information to operate the platform, create accounts, authenticate users, verify email or SMS OTP, support password reset, discover events, use alert-area search, create events, reuse saved addresses, manage registrations, waitlists, check-in QR passes, Join QR, Score QR, invitations, friend groups, attendance, scoring, score verification, corrections, leaderboards, Player History, reports, moderation, diagnostics, subscriptions, payment/refund/credit reconciliation, and support. We use information to send operational messages such as account verification, password reset, SMS OTP, registration confirmation, cancellation notices, event change notices, waitlist notices, friend and event invite notices, late score-access invites, scoring reminders, payment notices, subscription notices, renewal/cancellation notices, refund notices, platform-credit notices, policy exception notices, administrative notices, and support responses.
5. Consent, Limiting Collection, and User Choices
We collect, use, and disclose personal information for identified platform purposes and only as reasonably necessary for those purposes, except where law permits or requires otherwise. Users may be required to accept updated Terms of Service, Privacy Policy, subscription/payment terms, or Planner paid-event terms before a subscription service, paid tier, or paid-event capability is activated. Users may manage available profile, notification, SMS, friend, block, privacy, registration, payment/refund support, and scoring choices through account tools where provided.
6. Friends, Social Features, and Invitations
If friends-list features are used, the platform may process friend requests, accepted-friend relationships, friend groups, declined or dismissed invitations, blocked-user relationships, friend-based event invitations, group visibility settings, and friend attendance visibility preferences. Depending on settings and the feature being used, accepted friends may see limited information about event activity or invitations.
7. Scoring, Leaderboards, Community and Reliability scoring
When users participate in events or scoring, the platform may store gameplay results, rankings, placements, points, cooperative win/loss data, score submissions, approvals, disputes, score corrections, opt-out choices, peer review status, completion acknowledgements, and related timestamps. The platform may calculate Community and Reliability scoring using platform activity such as attendance, check-in, completed games, cancellations, no-shows, score participation, approval activity, peer review signals, validated game participation, and moderation signals.
8. Public, Shared, and Private Platform Data
Because BoardGameNite is a community event platform, some information may be visible to the public, to event participants, to accepted friends, to event hosts, to Event Planners, to Venue Partners, to administrators, or to moderators depending on the feature and settings. Restricted information generally includes account security data, email addresses except where operationally required, phone numbers, payment records, subscription records, refund records, internal moderation notes, private ratings, audit logs, security logs, diagnostics, and administrative policy notes.
9. Payments, Subscriptions, Refunds, Credits, and Waivers
If paid events, registration fees, deposits, paid account tiers, or subscriptions are used, payment and subscription details may be processed by third-party payment processors. We may receive limited transaction or subscription metadata such as checkout session ID, subscription ID, customer ID, price ID, trial period, status, renewal period, failed-payment status, payment-failure grace period, cancellation status, refund status, amount, currency, and receipt references. Full card numbers are handled by the payment processor and are not stored by BoardGameNite.
10. Account Deletion, Deactivation, Retention, and Anonymization
Account deletion, deactivation, ban, suspension, reactivation, or anonymization may affect access to registrations, scores, friends, invitations, subscriptions, refunds, credits, and other platform records. Some records may be retained for security, audit, payment, subscription, tax, legal, dispute, moderation, or operational purposes.
11. Security, Service Providers, and Transfers
We use technical, administrative, and organizational safeguards appropriate to the platform. Service providers may include hosting, email, SMS, payment, analytics, security, diagnostics, backup, and support vendors. Information may be processed outside the user's province or country by those providers, subject to applicable safeguards and contracts.
